Are all booth services optional?
All exhibitors are required to:
- Have carpet/flooring in their booth.
- Maintain exhibitor liability insurance for the show.
All other services are optional.
Do I need to submit a booth layout for approval?
Submitting a booth diagram is now optional, but encouraged to ensure compliance. Exhibitors who choose not to submit a diagram fully accept responsibility for ensuring their booth is in compliance. Any violations will result in fines and additional fees.
Please submit a booth layout for approval by July 1, 2025.

If I am planning to use an Exhibitor Appointed Contractor (EAC), do I need to notify show management?
Yes, exhibitors must notify Show Management when they plan to utilize the services of an EAC other than the show’s general contractor (Freeman) via the Online Notification Form.
Can I take down my booth right at the close of the show?
Yes, exhibitors can begin dismantling their booth right at the close of show on Thursday, September 18, 2025 at 2:31 p.m. Dismantling any earlier will result in fines or additional fees.
Which furnishings are included with my booth space?
Furnishings are not included with your booth space. Each exhibitor is responsible for their booth furnishings at their own discretion and expense, but must be in compliance with the
Terms & Conditions: Section 6 - Booth Construction Guidelines.

How can I receive an attendee list? Will email addresses or phone numbers be included in this list?
Per the GDPR Data Regulations, all Attendee Lists only consist of attendees who have opted-in for communication*
Pre-Show:
- Registered exhibitors have access to an Attendee List within their Attendee Service Center.
- Includes Name, Company Name, City, State
- Pre-Registered Attendee Postal Mailing List: $600.00
- IFMA must pre-approve a draft of your mailer prior to releasing the list. Exhibitors are responsible for sending out their mailer.
- Includes: Attendee Name, Title, Company Name, Address, City, State, Zip Code, Country
Post-Show:
- As part of the included exhibitor benefits, all exhibitors have the opportunity to receive a Post-Show Attendee Mailing List.
- Includes: Attendee Name, Title, Company Name, Address, City, State, Zip Code, Country

What is included with my Exhibitor Staff Registration?
Each exhibiting company receives 2 Full Event conference registration. Additional Full Events may be available based on participation and sponsorship level.
Additionally, each exhibiting company receives 2 exhibitor staff registrations per 10x10.

How do I get extra badges?
Exhibitors can register for as many badges as needed for company employees.
Is there Wi-Fi at the conference venue?
Free Wi-Fi is available to guests throughout all the lobby areas, but not in the exhibit hall. Inquiries regarding Wi-Fi packages for exhibitors or in-booth networks can be directed to: bclear@smartcity.com
Where can I park?
For your convenience, drop-off and pick-up locations - including accessibility, bus, Lyft, Uber and public transportation - will be located in front of the building on 2nd Avenue South.

How can I move in/out of exhibits?
The MCC requires that exhibitors enter and exit the building using the rear marshaling yard when transporting items that require a cart or cannot be carried by hand.
Exhibitors may enter through the front lobbies with small hand-carried items only.
The MCC may restrict vehicle access to streets in front of the building during move-in/out times as deemed necessary.
