Submitting a Nomination

Thank you for your interest in preparing a submission for the 2014 IFMA Awards of Excellence program. All completed submission packages are due to IFMA's Global Service Center of Excellence by May 12, 2014.

Only IFMA members in good standing may nominate a candidate. Members are encouraged to nominate themselves. Chapters and councils must be re-certified for the current year to be eligible for chapter and council awards.

Important Reminders

Specific requirements have been established for all submittals to ensure the judging process is as objective as possible.  Judging is done by volunteers and is an arduous task. 

Please fill out the nomination form thoroughly.  When all entries are received at IFMA's Global Service Center of Excellence, they will be assembled in emails for each judge.  Any submission not meeting these criteria will be disqualified. 

Provide specific information, not generalities.  Statements such as “membership has increased significantly” would be more impressive if backed by actual statistics.

Please follow the specific guidelines below:

Do not submit paper forms. In an effort to simplify the process and be more environment-friendly, IFMA is eliminating paper and judging binders from the process and will use digital forms and email. Exceptions will only be made for Author awards where a digital copy of the publication is not available. Authors will need to submit eight (8) copies of the publication for judges considerations.

The new digital nomination form utilizes editable PDF technology. The form will accommodate significant space for answering the achievement questions and eliminate the process of having to print, collate and mail submissions and judging binders to IFMA and judges. The answers to all questions will be limited to 500 words or the equivalent of one page.

Five supporting exhibit files are allowed for each award category.  Any exhibits submitted in excess of the allowable amount will not be furnished to the judges.

Exhibits should be attached, along with the completed nomination PDF in an email to awards@ifma.org. Examples of files that may be attached: booklets, pictures, rosters, graphs, reports, etc including Word, PDF, and other MS Office and graphic files. Multiple supporting files should be complied into a ZIP file.

You will receive a verification email acknowledging that IFMA's Global Service Center of Excellence has received your entry.  Please contact awards@ifma.orgif you do not receive this email.

Take the time to read through these pages prior to preparing your submittal so you will understand the criteria and point system. Before emailing your entry, verify that all questions have been answered, that the nomination form is complete and the email contains all attachments and supporting documentation required.

All nominations must be received at IFMA's Global Service Center of Excellence no later than May 12, 2014to be considered valid.  The materials will be assembled and judging forms and forwarded to the judges for review.  Judges will score each submittal and IFMA staff will tabulate all scores. Winners will be determined by the highest total scoring; however, judges may reserve the right to withhold an award should they determine no submittal qualifies as excellent and has a minimum of 85 cumulative points.

Timeline

All completed submissions are due to IFMA headquarters by May 12, 2014.  Nominators and entrants will be notified in August 2014 regarding qualification.  All awards will be presented at the Awards of Excellence events at World Workplace 2014 on Friday, Sept. 19th in New Orleans, Louisiana.

Judging Panel

Judges include a body of executive committee members, IFMA champions, chapter and council leaders, IFMA Fellows and IFMA staff. The 2014 Awards of Excellence Judging Panel will receive emails containing one of each submission in the various categories. Judging panels are composed of qualified volunteers who have demonstrated expertise and practice in the award areas they are to judge. The form used by the judges to evaluate each award is available online.

Each of the questions (achievements) and judges’ overall evaluation of your entry are assigned point values and summed to determine the final score.  Some award categories also call for the nominator to provide exhibits that are also worth points. Winners are determined by the highest total scoring; however, judges reserve the right to withhold an award should they determine no submission qualifies as “excellent” or does not reach the minimum of 85 cumulative points out of a total possible of 100.

Judging Guidelines

Below is the guidance provided for judges when evaluating each supporting achievement for a nomination. Each achievement has a maximum number of points allowed and total points for all achievements are totaled for a final scoring.
